Changed your commercial premises? Give the FRA a fresh look

Layout, activities and management changes are useful prompts to check whether your existing assessment still reflects the building.

A report can be recent while describing a building that has already changed. New partitions, different storage, a change in working hours or a revised use of rooms can all be useful prompts for a discussion with your assessor. The key question is whether the document still reflects the premises and the people using them.

Prepare a concise change note

We recommend listing what changed, when it changed, the areas affected and who now manages them. Include relevant plans, occupancy information and records of alterations. Mark drawings clearly so old and new layouts cannot be confused. This helps an assessor establish what information is available before agreeing the necessary review or visit.

Look beyond the layout drawing

Changes can affect how staff and visitors find their way out, who raises the alarm and how contractors are controlled. Tell the assessor about changes in activities and management arrangements as well as physical work. Do not assume a familiar route or an unchanged alarm panel proves that every aspect of the fire strategy remains suitable.

Agree the level of review

Government guidance says fire risk assessments should be reviewed and updated regularly. Whether a document review, additional evidence or a site assessment is appropriate depends on the instruction and the premises. A desktop second opinion can identify questions in the supplied information; it cannot verify building conditions that have not been observed.

Create a record the next manager can use

Keep the change note, revised assessment and action decisions together. Make clear which version is current and which actions remain open. For Kent and London commercial premises, contact 1st Aid Fire to discuss an assessment or a clearly scoped review. An agreed brief is more useful than ordering a document without explaining what has changed.

Changes affecting fire doors may need a separately agreed doorset survey.
