Set the scope first

Complete the premises details, responsibilities, services register, schedule and equipment inventories. Confirm the actual tasks and intervals with the relevant premises documents and competent advice.

Write an entry someone else can use

Record the actual date, exact asset or location, activity, observed result and identifiable person. S means satisfactory only for the check performed. D means defect, NC means not checked, and NA needs an applicable reason.

Keep uncertainty visible

Explain restricted access and missed checks. Arrange and record the follow-up. Never backdate a late check or copy a completed example as if it were an observation.

Review the evidence

Use the monthly review to connect tests, service reports and actions. Check whether open or overdue defects have owners and whether changes need an earlier assessment review.

Use with your premises procedure

This guide supports the printed record. It does not replace the fire risk assessment, system instructions, required specialist records or competent assessment. Work within your training and authority.
